You will own the comprehensive predeployment lifecycle, from credentialing and medical clearance to training coordination and logistical support, ensuring seamless compliance with DoD standards, contract requirements, and international travel regulations. This role demands exceptional organizational skills, strategic process improvement thinking, and the ability to build trusted relationships across internal teams, government agencies, and external partners.Key ResponsibilitiesDeployment Requirements & Compliance ManagementCompany-Wide Coordination: Serve as the primary SME for all deployment requirements including credentialing, authorizations, security clearances, contract stipulations, regulatory standards, and international travel policiesExternal Stakeholder Management: Build and maintain relationships with government agencies, military organizations, and external contractors to align administrative strategies and ensure deployment readinessNew Hire Integration: Coordinate deployment readiness briefings for new hires, ensuring they understand requirements and processes before first deploymentCompliance Oversight: Ensure all deployers meet federal, DoD, contract, and international travel requirements with meticulous attention to detailPredeployment Readiness ProgramProgram Development: Develop and manage comprehensive predeployment readiness program ensuring training, clearances, documentation, and medical readiness are consistently met across the organizationMedical Readiness Coordination: Manage medical readiness program, coordinating with vendors, scheduling appointments, and ensuring all deployers have necessary medical documentation and clearancesTraining & Documentation Oversight: Oversee critical predeployment processes including required training completion, personnel data collection, and administrative data integrationTracking Systems: Design, build, and maintain robust tracking systems and databases for deployer status, medical records, training completion, and credential validityDeployer Support & Relationship ManagementOperational Support: Track, manage, and proactively support deployer needs throughout the deployment lifecycle, building trust to understand and meet requirementsCross-Functional Coordination: Serve as primary liaison between Mission Operations, Technical Operations, and Deployment Operations teams to ensure seamless deployer lifecycle managementStakeholder Relationships: Build and maintain trusted relationships with deployers, ensuring their needs are consistently and empathetically met throughout deployment lifecycleSensitive Information Handling: Manage highly sensitive and confidential information (medical records, clearances, incident reports) with utmost discretion and integrityStrategic Projects & Process ImprovementTravel Program Enhancement: Lead creation and implementation of robust travel program consolidating travel scheduling, compliance measures, and expense management into unified systemTechnology Integration: Facilitate data platform usage through workshops and direct support; drive ongoing integrations for scheduling, dashboard visibility, and training programsIncident Management: Develop and enforce company-wide incident response strategy ensuring prompt stakeholder notification and efficient resolution of deployment-related issuesProcess Optimization: Continuously identify opportunities to streamline predeployment processes, reduce administrative burden, and improve deployer experienceRequired Qualifications3+ years of direct, hands-on experience with military or government deployment processes, systems, and compliance requirementsExceptional organizational skills with meticulous attention to detail and ability to manage multiple high-priority, complex projects simultaneouslyProven ability to develop and implement workflow tools, tracking systems, and reporting structures to enhance operational efficiencyStrong interpersonal skills with demonstrated ability to build trust and maintain relationships across diverse stakeholder groupsExperience managing sensitive and confidential information (medical records, security clearances, incident reports) with discretion and integrityProficiency with database management, spreadsheet tools, and process documentationStrong communication skills; able to clearly convey requirements and compliance expectations to technical and non-technical audiencesSelf-motivated with ability to work independently and take ownership of complex, organization-wide programsEligibility to obtain and maintain a U.S. Secret security clearanceAbility to meet health and medical requirements in advance of deployments in accordance with DFARS 252.225-7040, DoDI 3020.41, and/or any additional requirements outlined by region or supporting force, as applicablePreferred QualificationsBachelor's degree in Business Administration, Operations Management, or related fieldExperience with deployment coordination systems and DoD deployment administrationFamiliarity with data integration platforms or similar enterprise toolsPrior experience in defense contracting or government program support rolesKnowledge of international travel regulations, visa requirements, and customs processesExperience coordinating with government agencies (DoD, State Department) and external contractorsProject management certification (PMP, CAPM) or equivalent experienceUS Salary Range$146,000—$194,000 USDThe salary range for this role is an estimate based on a wide range of compensation factors, inclusive of base salary only.
