Assistant to Project Manager (Minimum 3 to 5 years relevant experience required) - Mechanical Construction Addison Smith Mechanical Contractor, Inc. - Carrollton, GA. Addison Smith, a leading mechanical contractor in West Georgia is seeking a qualified Assistant to Project Manager to join our team. Job Summary:

We are seeking a highly organized and detail-oriented Mechanical Project Manager’s Assistant to support our project management team in the planning, coordination, and execution of mechanical projects. This role involves assisting in project scheduling, documentation, procurement, and communication between stakeholders to ensure successful project delivery.

Primary Duties and Responsibilities:

  • Support Project Managers in project planning, scheduling, and execution activities across mechanical projects.
  • Ensure compliance with specifications, codes, and company standards. as the primary point of contact for clients and key stakeholders.
  • Provide support to Project Managers and Field operations for purchase orders of equipment, materials, rentals, consumables, etc.
  • Assist Project Managers with executing subcontract actions and vendor orders.
  • Produce and monitor project progress reports and issue resolution.
  • Monitor budgets, forecast expenditures, and control project costs to assist Project Managers.
  • Review and approve subcontractor and vendor invoices, timecards, and change orders.
  • Coordinate with procurement, fabrication shops, and field crews to ensure material and labor availability.
  • Ensure project milestones and deliverables are met.
  • Lead in overseeing maintenance of accurate records including submittals, RFIs, daily reports, and closeout documentation.

Qualifications & Skills:

  • Ability to read, and research specifications, plans, regulations, technical handbooks, Ordinances or Statutes, organizational policies or regulations, financial data, and legal instruments; ability to read computer screen
  • Ability to compose, prepare, sort, file and distribute memos, reports, correspondence, schedules, and forms.
  • Ability to communicate with the general public and other company employees in face-to-face situations and by telephone and to resolve disputes with tact and diplomacy.
  • Skill in establishing and maintaining interpersonal relationships with co-workers and visitors to the company; use tact and diplomacy with the public.
  • Ability to work independently in the absence of specific instructions or supervision.
  • Ability to maintain confidentiality.

Experience and Education Requirements:

  • Education: A.A. in Business Administration or equivalent experience, preferably within the mechanical construction field or construction industry.
  • Experience: 2-3 years of experience in project coordination, construction project support, or a similar role in the mechanical or construction industry.
  • Must have excellent interpersonal communication skills, both written and verbal.
  • Strong organizational and problem-solving skills. Ability to multi-task a must.
  • Ability to work under pressure with minimal supervision.
  • Proficient with the use of Microsoft Office Suite, knowledge of Procore software a plus.
  • Ability to meet deadlines and adapt to changing requirements with a positive attitude
  • Proven ability to generate and deliver reports that provide useful insight into project details
  • Highly organized and detail-oriented with a passion for ensuring projects proceed efficiently and effectively
  • Ability and desire to work collaborative to ensure successful project execution
  • Soft Skills: Strong organizational, communication, and problem-solving skills.
  • Other Requirements: Ability to work in a fast-paced environment, manage multiple tasks, and collaborate effectively with diverse teams.
