Job Summary:  

The Human Resources (HR) Assistant provides support to all HR functions, including assisting in recruiting, onboarding, separations, training initiatives, health and welfare issues, and HRIS maintenance. Maintains and upgrades existing files and confidential personnel files, both digital and print. Creates?new files as needed. Prepares documents and correspondence, as directed. Assists?in the development and presentation of special programs, such as?staff?meetings,?safety awareness.?and performance evaluation. Communicates with employees and others, both in person,?via telephone, and via Teams?regarding?personnel issues.? 

This is a full-time position, Monday through Friday.

Essential Duties and Responsibilities:  

The below duties and responsibilities are essential core functions of this position. Other duties may be assigned as needed.  

  • Maintains accurate and up-to-date human resources files, records, and documents. 
  • Answers employees’ basic questions regarding benefits, payroll, HRIS, and similar topics. 
  • Timely and accurately enters data into the HRIS. 
  • Assists?in preparing, posting, and advertising announcements for job vacancies.? 
  • Timely conducts background screens on new hires. 
  • Prepares and processes files for newly hired employees?and separating employees?in accordance with?established procedures.?? 
  • Reconciles monthly insurance invoices. 
  • Updates personnel records using electronic and manual systems?(HRIS and benefits management platform).? 
  • Assists with the preparation and tracking of performance review processes. 
  • Assists with the preparation of open enrollment. 
  • Maintains HNOC’s organizational chart. 
  • Assists with updating information with vendors such as health and welfare benefits and the retirement plan. 
  • Assists with coordination of special events such as trainings, meetings, and HR-related employee engagement events, as well as regular language classes for staff.
  • Communicates?with employees and department heads, as needed. 
  • Assists?in providing information?regarding?issues related to laws and regulations, such as ADA, FMLA, EEOC, etc., or other governmental agencies.? 
  • Enters and retrieves data from computer?system?as needed for reference, reports, etc.?? 
  • Assists with safety issues, such as ensuring first aid kits, PPE, etc. are readily available to staff. 
  • Requires regular and prompt attendance plus the ability to work well with others and work well as a team.? 
  • Performs other related duties as assigned.

Requirements

Job Qualifications:  

Below are the minimum requirements necessary for this position.  

Education:

  • Associate or bachelor's degree.

Experience:

  • Minimum of 1 year of Human Resources experience.

Knowledge, Skills, and Abilities:

  • Exceptional data entry skills. 
  • Excellent organizational skills and attention to detail. 
  • Excellent communication and customer service skills.
  • Adept at problem solving. 
  • Ability to learn human resources principles, practices, and procedures.
  • Ability to work as part of a team and collaborate with others as well as demonstrated ability to work independently.
  • Ability to be flexible and responsive to an evolving work environment.
  • Ability to meet deadlines. 
  • Knowledge of modern office practices, procedures, systems, and equipment including computers and software?including Microsoft?Office and Adobe?Acrobat and/or?MegaSign.?? 
  • Proficiency in Paylocity and ability to learn other HRIS, payroll, and related software. 
  • Ability to manage multiple priorities and multiple demands to?accomplish?tasks?in accordance with?established requirements.? 
  • Ability to remain confidential and discreet. 
  • Bilingual or multilingual preferred (English-Spanish, English-French).

$48,100-$55,400 per year
